ImpactSIIS Job Aids and Videos

The following resources are available to help you navigate the IMPACT SIIS system. Below you will find job aids and videos that will take you step-by-step through processes that are a key part of administering the COVID-19 vaccine to patients and entering important information. Target Population or Occupation (TP/O)

It is critical that Ohio understand the number of vaccine recipients from each target population or occupation (TP/O).

Through collaboration with some provider partners, the Ohio Department of Health (ODH) has launched another option for providers to more easily collect and report data from vaccine recipients about target population/occupation (TP/O). Please share this information with your Information Technology (IT) department if you are interested in using this new method.

Below is an explanation of all the ways providers can collect and report this important data. The referenced TP/O Checklist and TP/O Codes will be updated as vaccine administration begins for additional priority populations and occupations. ODH will notify all vaccine providers once the checklist is updated and available. The addition of populations and occupations may require your IT department to make additional updates to your systems or processes. TP/O will only need to be collected and reported for a patient’s first dose of the COVID-19 vaccine.

Providers using HL7 interface

  1. Provider’s IT department modifies interface to include RXA-9.2, second repetition as user-entered comment
  2. Provider records all patient data including TP/O with in-house system using provided checklist
  3. Practitioner reviews identifying information with patient and administers vaccine
  4. Provider’s IT department uses existing HL7 interface to auto upload all data from last 24 hours

Providers using secure data file upload

  1. Provider’s IT department goes to https://OHID.Ohio.gov to request upload access
  2. Provider’s IT department modifies in-house system to include TP/O checklist options
  3. Provider records all patient data including TP/O with in-house system
  4. Practitioner reviews identifying information with patient and administers vaccine
  5. Provider’s IT department uploads TP/O data from last 24 hours through https://OHID.Ohio.gov

Providers using web entry

  1. Provider records all patient data except TP/O with in-house system
  2. Provider writes on provided checklist the patient’s first name, last name, birthdate, and checks the box to the left of the most appropriate TP/O
  3. Practitioner reviews checklist information and other identifying information with the patient and administers vaccine.
  4. Practitioner hands off completed checklist to administrative staff for entry
  5. Provider’s administrative staff signs into ImpactSIIS (https://ohioimpactsiis.org) to record TP/O using dropdown menu

Providers without computing tools

For instances when providers are administering vaccines without computing tools, the COVID-19 Vaccine Registration Form can collect all information needed for data entry into ImpactSIIS or for building a .csv file to relay details of each vaccination as required.
