Temperature Monitoring and Excursions


This page contains the details about temperature monitoring standards and requirements as well as necessary monitoring equipment for all providers enrolled in the COVID-19 Vaccination Program.

Temperature Monitoring

ODH requires all COVID-19 Vaccine providers to check and record the minimum and maximum (min/max) temperatures of cold storage refrigerators and/or freezers each workday.

In addition, twice daily temperature checks must be conducted at the beginning and end of the day. This information must be documented on an ODH paper temperature log.  See the 'Daily Temperature Logs' section located on this page.

Temperature Excursions

Scenario: Temperature Excursion onsite in site’s unit

If your vaccine storage units experience temperatures that are outside of the recommended temperature ranges indicated for vaccines take the following steps:

  1.  Quarantine your vaccine in an appropriate storage unit.
  2.  Contact the ODH COVID-19 Provider Call Center immediately at 1-844-963-4829 (844-9ODHVAX). The call center is hours are:

Monday through Friday 8:00am-7:00pm

Saturday and Sunday 8:00am-5:00pm). 

If your excursion is discovered outside of these hours, please call first thing the next day.

Have the following information available to provide on your call:

  • Site PIN (5 digit number)
  • Brand of vaccine
  • Is the vaccine currently refrigerated or frozen
  • Paper Temperature Logs or downloaded data logger files

Scenario: Temperature Excursion During Shipment

MODERNA:

  1. Quarantine your vaccine in an appropriate storage unit.
  2. Immediately report the issue by following the instructions on packing insert for who to contact first: ODH or McKesson

PFIZER- BIONTECH (depends on dose amount):

  1. If you have an ULT freezer, quarantine your vaccine within the unit.
  2. Less than 975 doses:

Daily Temperature Logs

ODH requires all COVID-19 Vaccine providers to check and record the minimum and maximum (min/max) temperatures of cold storage refrigerators and/or freezers each workday.

In addition, twice daily temperature checks must be conducted at the beginning and end of the day. This information must be documented on an ODH paper temperature log which is located below.

Temperature Monitoring Devices (TMD)

The temperatures of storage units containing COVID-19 vaccine are required to be monitored at all times.  Temperature monitoring devices, at minimum, must meet the following criteria:

Temperature Monitoring Device Minimum Required Functionalities:

  • A temperature probe or sensor
  • An active temperature display that can be easily read from outside of the unit that can show: current, minimum, and maximum temperatures
  • Resettable min/max functionality
  • Alarm for out-of-range temperatures

Maintaining Cold Chain

Handling vaccines requires cold chain management to assure that the vaccine maintains its efficacy. Cold chain requirements will vary depending on the vaccine products.  Typically, vaccines are required to be kept at refrigerate temperatures or frozen temperatures.  Some of the COVID-19 vaccine candidates are required to be stored at ultra cold temperatures.  

Refrigerated: 2°C to 8°C (36°F to 46°F)

Frozen: -15°C to - 25°C (5°F to -13°F)

Ultra-Cold: -60°C to -80°C (-76°F to -112°F)
